A comprehensive fleet management module in DRIVE supports the administration of multiple service aspects of the contracted offerings.

Fuel Card services can be created and included in the quotation. Managing the fuel card involves storing details such as card number, PIN and expiry date in DRIVE. These details are used later to form part of the validation process when fuel transactions are loaded. DRIVE has existing fuel loaders to enable fuel transactions to be uploaded into the system.

Toll Service can also be included at time of quote and, similar to the fuel management process, the toll management functionality allows the user to record key tag details such as the tag number, vehicle class and the vehicle the tag is allocated to. DRIVE has existing toll loaders to enable toll transactions to be uploaded into the system.

Vehicle Infringements can be recorded in DRIVE, capturing information such as location, date, time, type and cost of fine. Additionally, the cost of an infringement with an optional administration fee can be recharged to the customer as part of the process as well as managing the supplier payment if required.

DRIVE has been designed to manage Registration with matrices allowing for licencing costs to be recorded for individual states or zones and for different usage categories, types of vehicles, renewal periods, engine size, weight and cylinders. These values are utilised in the calculation of registration for the initial vehicle purchase and the renewals which are required during the life of the lease. The costs can be either budgeted or recharged depending on your product configuration. A full renewal process further supports this functionality, allowing for tracking of upcoming renewals and managing renewal recharges. Additional registration insurance or legislative costs can be managed in the same way.

Vehicle Maintenance, Tyres and Servicing is critical to keeping your vehicles in top condition. As such DRIVE has a dedicated maintenance module that allows you to efficiently manage this service for your customers. Maintenance and service matrices can be loaded against each model standard using different inputs such as Jato, CAP, Maintbook or a number of other industry standard providers. At time of quotation these maintenance values will be populated into the quote, and service schedules will be attached to the contract.

The user configuration of the maintenance and tyres service allows you to define which items form part of the maintenance budget and which will be recharged to the customer as well as the number of tyres included in the contract. At time of processing a maintenance and/or tyres order this configuration will remove any ambiguity about which costs should be absorbed versus which costs should be passed on to the customer, therefore reducing the risk to the organisation.

Accident Management exists within DRIVE as a service and, also, as a module in which you can record all the details of vehicle accidents. As a service, accident management can be provided both in house or by external parties. The service can be configured to provide varying levels of cover.

The module allows the user to record all of the details of vehicle accidents, including but not limited to driver’s insurance, third parties involved, repair estimates, conditions at time of accident, witnesses and images. The accident process allows you to manage accidents records though statuses which are then held against the record for traceability and further provide the information required to measure the downtime of the vehicle.
