Leasing and Quotations

The quotations module within DRIVE is a comprehensive module which allows for a quote to be completed both on system, by a back of house user, and via an eCustomer or eBroker web portal front end.

The main inputs to the module are:

  • Vehicle Model Standards Data - which can be imported from an external source such as Jato or CAP (or any number of other industry standard providers)
  • Product Types – which are configurable by the business
  • Master Lease Agreements (MLA) - which allows for the configuration of different in life lease management packages within each of the product sets. These MLA’s provide the flexibility to tailor different offerings to different customers or segments. In addition to this the master lease agreement also holds the guidelines for what can be quoted including vehicle restrictions, default services and quoting limits such as maximum/minimum terms and maximum rental payments.

Throughout the quoting process the quote can be amended by the web portal user or a back of house user. Additionally, once the quote has been accepted and converted into an order, a replacement quote can also be generated in the event of any vehicle pricing changes.

Once the vehicle has been delivered and the lease has been activated the contract is managed in DRIVE using the Leasing Module. This module includes processing charges (including recharges) against leases, which can be managed manually or be scheduled to run on a daily/weekly/monthly basis. The leasing module also includes invoice consolidation, for customers who operate within a hierarchy, and sales invoice generation. The leasing module manages the contract for the life of the lease including vehicle transfer, extensions and write offs. DRIVE comprehensively manages the history of both the contract and the asset.

Imminent expiry functionality provides a pro-active approach to leases due to expire. Using various configuration rules, replacement or extension quotations can be generated and made available to the customer ahead of the contract termination date. The rules can include definitions for how many days before the end of the contract to produce a quotation, default extension period and distance parameters, calculation of distance at contract end and provide a quotation if the distance will exceed by a given percentage.

This provides a valuable means to customer retention and high levels of customer service by offering all available replacement options.

The Quotations & Leasing Module is fully integrated with the Acquisitions Module to allow for a seamless Quote to Delivery Process.
